Inclusion Economics Nepal at Governance Lab is an initiative affiliated with Inclusion Economics at Yale University, founded and based out of the Yale Economic Growth Center and MacMillan Center, it enables inclusive economies and societies through research and policy engagement. Some of our key current and past research includes: understanding inclusive political and economic growth in the context of Nepal’s recent federal transition, MSE growth, dignity of labor, accelerating women-led MSEs.
The Role:
We are looking for a full-time Admin & Operations Trainee to support the Admin Officer in the day-to-day administration and operations of the organization. The trainee will gain hands-on experience in areas including office administration, procurement, logistics, event coordination, record management, and other operational activities. The role is suitable for an individual who is organized, proactive, eager to learn, and interested in developing a career in administration and operations.
Admin & Operations Trainee Responsibilities
● Provide day-to-day administrative and operational support to the Admin Officer in managing office, project, and organizational activities.
● Assist in coordinating office operations, including supplies, equipment, facilities, logistics, and other routine administrative requirements.
● Support procurement and vendor management activities by collecting quotations, preparing comparison sheets, maintaining procurement records, and coordinating with vendors under the guidance of the Admin Officer.
● Assist in arranging travel and field logistics, including transportation, accommodation, travel documentation, equipment, supplies, and other requirements for staff, consultants, and project teams.
● Support the planning and coordination of meetings, workshops, events, field activities, training, and other organizational activities.
● Assist in maintaining updated records of office inventory, assets, equipment, supplies, and other organizational resources.
● Assist in maintaining records of office and project-related expenses, purchases, invoices, receipts, and other supporting financial documents.
● Support the preparation of payment requests, expense documentation, budget estimates, and other administrative and financial documents for review and approval.
● Assist with recruitment and HR-related administrative activities, including posting vacancies, maintaining applicant records, scheduling interviews, preparing onboarding materials, and maintaining staff and consultant records.
● Assist in maintaining staff attendance, leave, and other HR-related records and provide administrative support as required.
● Assist in preparing experience letters, certificates, correspondence, reports, and other administrative documents as required.
● Support the Admin Officer in maintaining proper documentation and records in accordance with institutional policies and procedures.
● Assist with data entry, filing, scanning, photocopying, and digitization of administrative and operational records.
● Support coordination and communication with staff, vendors, consultants, partners, and other stakeholders as assigned.
● Assist with project-related operational tasks, including dissemination of reports, website content, correspondence, and other materials to relevant stakeholders.
● Support the implementation of organizational policies, procedures, and administrative systems as required.
● Participate in organizational events, knowledge-sharing sessions, team-building activities, and other institutional activities.
● Take initiative to learn and develop practical skills in administration, operations, procurement, logistics, and organizational coordination throughout the traineeship.
● Perform any other administrative, operational, or project-related tasks assigned by the Admin Officer or supervisor.
Qualifications and Requirements
● Bachelor’s degree or currently pursuing a Bachelor’s degree in Business Administration, Management, Public Administration, or a related field.
● Fresh graduates and candidates with limited professional experience are encouraged to apply.
● Strong interest in learning and developing practical skills in administration, operations, procurement, logistics, and organizational support.
● Good organizational and time-management skills, with the ability to manage multiple tasks and meet deadlines.
● Good written and verbal communication skills in English and Nepali.
● Basic proficiency in Microsoft Office/Google Workspace, including Word/Docs, Excel/Sheets, and email.
● Ability to maintain accurate records, organize documents, and handle administrative information with attention to detail.
● Good interpersonal skills and the ability to work collaboratively with staff, vendors, consultants, and other stakeholders.
● Willingness to take initiative, learn new processes, and work under the guidance of the Admin Officer.
● Ability to maintain confidentiality and handle organizational and personnel information responsibly.
● A proactive, reliable, and positive attitude toward assigned responsibilities.
Additional information
Compensation: Governance Lab will provide compensation on a monthly rate basis. The rate will be mutually agreed upon, commensurate with the level of the required deliverables, the qualifications and experience of the candidate.
